Relocation & Administrative Assistant

Job description

The Administrative & Relocation Assistant reports to the Account Managers & the Operations Manager of the French office. 

The Assistant functions in support of the Relocation team and helps with the daily administrative tasks of the office. The Assistant’s main function is to facilitate procedures of any given Relocation Service and/or office administration. The Assistant’s missions include but are not limited to:  

  • Creation of new contracts, new companies, new service initiations in ONYX (our case management system)  
  • Communication with internal Consultants, external Field Consultants, and third-party providers to facilitate procedures and assist with service delivery 
  • Occasional communication with assignees   
  • Preparation of “House Hunting files” with the Relocation Account Managers  
  • Registration of assignees to Social Security  
  • Management/issuing of service invoices in ONYX  
  • Management of office admin tasks (organization of courier services, document filing, updating of documents...)   
  • Management of the office’s general mailbox  
  • Update of presentations (guides, sales proposals) for clients

The work of an Assistant is important because of the significant level of support he/she provides to the rest of the team. An ideal candidate for this role has a positive can-do attitude and enjoys helping others. Someone who wants to learn and grow in his/her role. The candidate should be well organized, methodical, and efficient. Because an Assistant can have a lot of interaction with different people, internally and externally, it is crucial to have strong communication skills. For the same reason, the ideal candidate is able to adapt and respect others’ perspectives. The Assistant should display a go-getter attitude and be able to handle stress professionally.

Salary: minimum wage (France)

Requirements

  • Bilingual – fluent in English and French (spoken and written)  
  • At ease with the Pack Office 365 (Word, Powerpoint, Excel) 
  • Good writing and communication skills 

 

 Nice to have but not required:   

  • Curious about other cultures  
  • Experience with French authorities  
  • Experience with real estate market   
  • University degree  
  • Other foreign languages are appreciated!
